Getting started

Most institutions go live in a few days. The time goes on gathering and approving your records, not on technical setup.

Before you start#

Have these ready:

  • Your programmes: the codes and names you use, and the levels (foundation, diploma, undergraduate, postgraduate, or your own).
  • The facts students ask about most: fees for local and international students, entry requirements, intake dates and application deadlines, with the name of the person who owns each figure.
  • Your pages: accommodation, campus life, scholarships, how to apply. Plain text copied from your website is enough.
  • Your teams: who handles general enquiries, admissions and student visas.

Set up, step by step#

  1. We create your spaceWhen you sign up, we create a separate database for your institution and its first agent (the assistant on your website). Your first admin receives a sign-in link by email.
  2. Sign in to the consoleOpen the link on the device you'll use. There are no passwords: you sign in with a one-time link, and the session ends after the idle time you choose. See Signing in.
  3. Invite your staffIn Admin → Staff and seats, invite officers for each team and at least two editors. Two, because a record is only published when a second person approves it.
  4. Add your records and documentsEditors import a spreadsheet or type records in Content, then a colleague reviews and publishes them. See Records and documents.
  5. Set up your agentIn Admin → Agents, choose its colour, greeting, languages and contact details, and list the websites it may run on.
  6. Add the widget to a test pageCopy the script tag from the agent's page into a page on your site. See Add the widget.
  7. Try it, then go liveAsk the questions your office hears every day. Ask one it shouldn't know and check that it declines. Ask for a person and watch the case arrive in the console. When you're happy, put the tag on your live pages.

Start with your ten most-asked questions. A small set of approved records that are right beats a large set nobody has checked. The assistant declines politely when it has no source, and hands the student to your team.

Your first week#

  • Look at the Unassigned queue twice a day. Those are students who asked for a person or whose question the assistant couldn't answer.
  • When the same question keeps reaching your officers, it's usually a record or page you haven't added yet. Add it, and the next student gets an answer straight away.
  • Check Content → Expiring in 30 days. Deadlines and intake dates stop being used on the day they expire, so renew them before then.

Plans#

Plans differ by the number of staff seats, agents and conversations a month, and by the model tier that answers. Editors and viewers don't take a seat. Email us for current prices and a trial.
